Purpose of the Position
The main goal of this role is to offer clerical and administrative support in the Supply Chain Management (SCM) unit. This includes helping with procurement processes, managing payments, handling assets, and keeping accurate records. All work must follow government financial rules and regulations to ensure everything is done properly and efficiently.
Minimum Requirements
- Education: A Grade 12 (Matric) Certificate is required.
- Experience: No prior work experience is needed for this position.
- Driver’s Licence: Having a valid driver’s licence is an added advantage but not essential.
Knowledge, Skills, and Competencies
To succeed in this role, you should have:
- Basic understanding of financial administration and how procurement processes work.
- Knowledge of key laws and rules, such as the Public Finance Management Act (PFMA), Treasury Regulations, and the Preferential Procurement Policy Framework Act (PPPFA).
- Familiarity with the Basic Accounting System (BAS) and standard government procedures for supply chain management.
- Strong organizational skills to manage tasks effectively, along with good administrative abilities.
- Excellent skills in verbal and written communication to interact clearly with others.
- Computer literacy, especially in using MS Word, Excel, Outlook, and MS Teams for daily work.
- Great attention to detail, accuracy in handling information, and the ability to solve problems as they arise.
- The capacity to work well in a team, be flexible, and handle pressure when deadlines are tight.
Key Responsibilities
As a Supply Chain Management Clerk, your daily duties will include:
- Capturing invoices accurately and creating Creditor Payment Advices (CPA) to ensure payments are processed correctly.
- Verifying details on invoices, such as supplier information, VAT registration numbers, and correct pricing, to avoid errors.
- Maintaining an up-to-date payment register and closely monitoring the status of all invoices.
- Preparing and updating the Procurement Status Report on a regular basis to keep track of ongoing activities.
- Assisting with clerical duties related to demand and acquisition, including implementing preference point systems and organizing procurement files neatly.
- Providing secretarial and logistical support during bid evaluations and contract management processes to help the team run smoothly.
- Checking and processing purchase orders (POs) while making sure they comply with all procurement guidelines and policies.
- Helping with monthly SCM reporting, maintaining proper records, and ensuring everything meets audit requirements.
- Managing and filing SCM documentation, such as quotations, purchase orders, and supplier details, in an organized manner.
- Supporting the procurement of goods and services in line with the department’s delegation of authority and best practices.
