Job Purpose
The main goal of this position is to offer professional secretarial and administrative support to the Manager and the Directorate. This role ensures that office operations run smoothly and that communication between departments is efficient and effective. As a Secretary, you will handle daily administrative tasks, manage schedules, and support the team in various ways to keep everything organized and on track. This is an important job that helps the college run without interruptions and supports the overall goals of the academic and financial management directorates.
Minimum Requirements
Education:
You need a National Senior Certificate (Grade 12 or Standard 10) or an NCV Level 4 qualification.
In addition, you must have an appropriate National Diploma or Degree in one of the following fields:
- Secretarial Studies
- Management Assistant
- Office Management and Technology
- Or any other relevant equivalent qualification
Experience:
You should have at least 3 months of experience in secretarial or administrative services. This experience will help you understand the basics of office support and prepare you for the demands of this role in a busy college environment.
Knowledge, Skills, and Competencies
To succeed in this position, you will need a solid understanding of relevant laws, rules, and policies that guide public service work. You should also have a basic knowledge of financial management to assist with related tasks. Strong skills in record management and document control are essential to keep information organized and secure.
Good communication and interpersonal skills are key, as you will interact with various people inside and outside the college. You must have excellent telephone etiquette to handle calls professionally. Computer literacy is required, including a minimum typing speed of 65 words per minute, to manage emails, documents, and other digital tasks efficiently.
Reliability, confidentiality, and professionalism are non-negotiable, since you will deal with sensitive information. You need strong organizational and time management skills to juggle multiple responsibilities without missing deadlines. Finally, discretion and tact are important when handling confidential matters, ensuring trust and respect in the workplace.
Key Responsibilities
Your day-to-day duties will include providing secretarial and receptionist support to the Manager. This means greeting visitors, answering calls, and managing incoming queries promptly and politely.
You will manage the Manager’s diary, schedule appointments, and organize events to ensure nothing overlaps and everything is prepared in advance.
Typing and preparing official documents, letters, and reports will be a core part of your role, ensuring all written communication is accurate, professional, and error-free.
You will arrange meetings, take detailed minutes, and handle all logistics, such as booking rooms, sending invitations, and following up on action items.
Handling travel and subsistence claims for the Manager involves preparing paperwork, submitting claims, and ensuring reimbursements are processed quickly and correctly.
Managing filing systems and maintaining confidential records is crucial. You will organize files both physically and digitally, update them regularly, and ensure easy access while protecting privacy.
You will receive, record, and distribute all incoming and outgoing documents, keeping track of important paperwork to prevent any loss or delays.
Finally, you will collect relevant materials and prepare meeting packs for the Manager, making sure they have all the information needed for productive discussions.
