About the Road Accident Fund (RAF)

The Road Accident Fund’s mission is to provide appropriate cover to all road users within the borders of South Africa; to rehabilitate and compensate persons injured as a result of motor vehicle accidents in a timely and caring manner; and to actively promote the safe use of our roads.

Purpose of the Job

The Administrative Assistant is responsible for providing comprehensive day-to-day administrative support to the Medical Management department, ensuring efficient operations and strict compliance with all relevant policies.

Key Performance Areas

Compliance Administration

  • Maintain accurate and up-to-date written documentation for all departmental business activities.
  • Ensure all processes and tasks adhere to company policies and established standards.
  • Stay informed of internal control standards and business objectives to maintain compliance.

Office Coordination

  • Provide general administrative support, including managing correspondence, filing, and handling telephonic queries.
  • Maintain strict confidentiality on all office-related matters.
  • Follow up on outstanding issues and ensure all requests are handled within set timelines.
  • Liaise and follow up with Processing Centers regarding pending matters.
  • Assist with the management and availability of stationery within the department.
  • Validate and verify information and documents submitted for accurate capturing.
  • Keep all systems and registers updated and functional.
  • Identify and report duplicate documents, requests, and queries.
  • Allocate reference numbers and accurately capture related documents on various systems.
  • Assign matters to the responsible team members.
  • Draft and dispatch letters to relevant stakeholders as required.

Meeting Support

  • Assist in arranging meetings for the department.
  • Help with taking minutes and distributing them in accordance with governance standards.
  • Create and maintain a register to track outstanding matters.
  • Support the maintenance of a follow-up plan for meeting resolutions and outstanding items.
  • Manage team diaries and confirm meeting attendance.
  • Schedule appointments with internal and external stakeholders as needed.

Document and Records Management

  • Administer the records management and filing processes in line with the RAF filing plan.
  • Ensure the filing system is always functional and up-to-date.
  • Retrieve information promptly upon request.
  • Ensure the confidentiality of all documents and that they reach the intended recipients.
  • Acknowledge receipt of documentation, apply file number allocations, record data onto the computer system, and file appropriately.

Qualifications and Experience

Minimum Qualifications

  • Matric or Grade 12 certificate.

Minimum Experience

  • At least one (1) year of relevant experience in an administrative or similar environment.
