Job Overview

The Tenders Administrator supports sales order processing, payment allocation, and key account management. This role manages inventory, assists in bid and tender preparation, handles customer quotations, and provides general administrative support to the planning department. Precision, strong organisational skills, and effective communication with internal departments and external clients are essential.

Key Responsibilities

  • Coordinate and manage tender documents, submissions, and deadlines.
  • Gather information from internal departments for tenders.
  • Maintain tender tracking systems and databases.
  • Assist in project planning schedules and resource allocation.
  • Ensure compliance with tender requirements and company standards.
  • Support bid preparation, including formatting, proofreading, and compiling documents.
  • Monitor tender portals and identify relevant opportunities.
  • Communicate with clients and stakeholders regarding tender clarifications and updates.
  • Support planning administration: update databases, spreadsheets, and documentation.
  • Monitor progress against plans and flag potential delays.
  • Assist in resource allocation for key accounts and capacity planning.
  • Process sales orders and ensure accurate planning inputs.
  • Maintain compliance with internal procedures and planning standards.
  • Manage inventory and reporting tasks.

Requirements

Education

  • Matric and a relevant tertiary qualification in Business Administration, Project Management, Supply Chain Management or a related field.

Experience

  • 2‑3 years of tender administration, planning coordination or procurement support.
  • Strong proficiency in Excel.
  • Experience with Syspro software is advantageous.
