Job Description
An opportunity has become available for a Despatch Controller to be based at our Kempton Park depot. The primary purpose of this role is to ensure all despatches are executed promptly and efficiently, strictly in line with customer requirements and company standards.
Key Responsibilities
Labour & Container Management
- Request labour support from the Depot Manager to ensure efficient vehicle loading and off-loading.
- Thoroughly inspect all containers for defects before loading and report any findings to the Depot Supervisor.
- Oversee the safe and damage-free loading of containers for transit.
- Supervise all loading and off-loading processes to ensure product security and handling procedures are followed.
Invoice & Documentation Management
- Ensure all invoices are received and processed in line with the pre-planned SAMIS Route Planning system.
- Accurately complete and process all necessary despatch documentation for sub-contractors and couriers.
- Maintain an organized system for filing and matching proof of delivery (POD) documents with their relevant orders and invoices.
- Proactively track and report any outstanding PODs to the Depot Supervisor.
Delivery Scheduling & Coordination
- Arrange and confirm collection and delivery appointments with sub-contractors and couriers.
- Schedule and communicate delivery times directly with customers, including COD (Cash on Delivery) customers.
- Ensure a fully completed and signed POD is received for all dispatched goods.
Cash Handling & Financial Transactions
- Receive and sign for COD payments collected by drivers, ensuring secure handling.
- Forward all received COD payments to the Admin Clerk at the end of each business day.
- Ensure signatures are obtained for all money transfers between depot personnel to maintain a clear audit trail.
Requirements
Qualifications
- Grade 12 National Senior Certificate (Essential)
- A Warehousing Diploma is highly advantageous (Ideal)
Experience
- Minimum of 2 years of experience working in a distribution warehouse or depot environment.
- Proven experience in despatching and logistics coordination.
- Previous experience in managing staff or drivers.
Other Requirements
- Must have own reliable transport.
- Must be familiar with the surrounding areas to effectively plan delivery routes.
- Must be able to speak and write in both Afrikaans and English.
