Position Overview
The Asset Administrator manages the entire lifecycle of assets in the Central Operations Centre (COC). This includes ICT hardware and software, office equipment, and other movable assets such as desks and chairs. The role ensures that the asset register is accurate, assets are properly tagged and verified, and all acquisitions, allocations, transfers, disposals, and audits are handled in compliance with internal controls and external requirements.
Key Responsibilities
- Maintain and update the asset register for all physical and ICT assets.
- Tag, label, and physically verify equipment, reconciling counts with the register.
- Process asset lifecycle transactions: issuance, transfers, returns, repairs, warranty claims, and disposals.
- Assess asset condition before checking items into store.
- Execute periodic reconciliations and exception reports to resolve discrepancies between systems, procurement records, and physical stock.
- Coordinate routine asset-related tasks in response to service requests and support team needs.
- Ensure software asset allocation does not exceed entitlements.
- Participate in impairment exercises as required.
- Prepare and deliver monthly/quarterly asset reports for ICT, Finance, and Audit, covering inventory status, movements, warranties, and end‑of‑life forecasts.
- Support internal and external audits by providing asset evidence, reconciliation packs, and answers to audit queries.
- Liaise with procurement, vendors, and third‑party logistics to confirm deliveries, warranties, returns, and disposal procedures.
- Ensure compliance with asset management policies, internal controls, and disposal governance; raise non‑compliance or high‑risk issues to management.
- Provide guidance and training to ICT support teams and end‑users on asset request, allocation, and return procedures.
- Maintain and update standard operating procedures and how‑to guides for asset processes and system usage.
- Coach new team members on reconciliation processes, tagging standards, and compliance requirements.
Minimum Requirements
- NQF 5 Higher Certificate in Asset Management, Supply Chain Management, Finance, Information Technology, or a related field.
- Strong understanding of asset lifecycle processes (acquisition, allocation, verification, transfer, disposal).
- Knowledge of applicable governance, audit, and compliance requirements for asset management.
Technical Competencies
- Knowledge of asset lifecycle processes and asset control frameworks.
- Proficiency in enterprise asset management systems such as Hardcat, Flexera, SAP, Oracle, or similar.
- Understanding of asset registers, reconciliation methods, and reporting standards.
- Basic understanding of procurement cycles and financial controls impacting asset management.
Experience
- 3–5 years’ experience in asset administration or related functions (ICT, facilities, or finance).
- Proven experience maintaining an asset register, performing audits, reconciliations, and lifecycle tracking.
- Exposure to ERP tools such as Hardcat, SAP, Flexera, SysAid, Oracle, or similar.
- Experience coordinating with finance, procurement, and operational teams to ensure compliance and audit readiness.
Other Special Requirements
