We are currently seeking a dedicated and detail-oriented Reconciliation Clerk to join our dynamic team at the Benoni Bakery. This is a permanent position reporting directly to the Production Manager.

Purpose of the Position

The Reconciliation Clerk is a crucial role within our operations, responsible for the accurate inspection, identification, and allocation of all received consumables to their correct stock codes. You will be the key person ensuring our inventory management systems are precise and reliable, supporting the smooth running of our production and slicing departments.

Key Responsibilities

  • Gain a comprehensive understanding of the existing stock and code system and identify opportunities for improvement.
  • Manage and optimize the physical storage areas for all materials.
  • Exercise strict control over all incoming raw materials.
  • Control the issuance of raw materials to the production and slicing departments based on SMV documentation.
  • Maintain and balance a manual Kardex system against physical stock quantities.
  • Perform daily interim stock counts and conduct the final month-end count.
  • Reconcile the manual Kardex records with the quantities reflected in the Syspro system.
  • Ensure all material certificates are verified against material identification and are correctly filed.
  • Manage the re-ordering process for raw materials based on individual stock code requirements.
  • Regulate and control access to the stores area for both suppliers and employees.
  • Monitor, manage, and maintain current inventory levels to prevent shortages or overstocking.
  • Process purchasing orders as required by operational needs.
  • Track orders and proactively investigate and resolve any problems or discrepancies.
  • Record all purchases and maintain an accurate and up-to-date database.
  • Receive and unpack delivered goods, completing all necessary Food Safety documentation upon receipt.
  • Process invoices for payment in a timely manner.
  • Process and document returns as required, strictly adhering to Food Safety policies and procedures.
  • Perform related clerical duties, including data entry, following up on placed orders, and liaising with internal and external stakeholders.
  • Provide leadership, guidance, and training to any staff reporting into this role.
  • Perform all other job-related duties as assigned.

Minimum Requirements

  • Grade 12 / Matric certificate.
  • A National Diploma in Logistics or Production Management is highly preferred.
  • Minimum of 5 years of experience working within an FMCG (Fast-Moving Consumer Goods) environment.
  • At least 3 years of experience in a supervisory or department management role.
  • High level of computer literacy, with extensive experience in Microsoft Office Suite.
  • Must be highly organized and systems-oriented.
  • A self-starter with a proven ability to use own initiative and work independently.
  • Must be willing and available to work overtime, including on public holidays (in accordance with the bakery calendar, excluding three specified days).
  • Strong ability to reconcile stock counts and report data accurately.
  • Proven experience in managing and maintaining databases.
  • Strong analytical and problem-solving skills.
  • Ability to prepare routine administrative paperwork efficiently.
  • In-depth knowledge of Purchase Orders (from creation on Syspro to completion), Goods Receipt Vouchers (GRVs), and Invoices.
  • Working knowledge of backflushing processes, including Transfers, Damages, and Backflush transactions.
