As the first point of contact for visitors, clients, and employees, the Receptionist is a vital role that represents the professional image of Rand Mutual Assurance. This position is responsible for managing front desk operations, providing exceptional administrative support, and ensuring smooth communication flows throughout the organization. You will report directly to the Facilities Manager and play a key role in the day-to-day functioning of the office.
Key Responsibilities
- Visitor Management: Greet all visitors warmly, determine the purpose of their visit, announce arrivals promptly, and direct them to the appropriate employee or meeting room.
- Phone Operations: Answer, screen, and forward incoming phone calls efficiently. Take accurate messages and provide helpful information to callers.
- Administrative Support: Manage all incoming and outgoing mail, including sorting, distribution, and coordinating courier services.
- Schedule Management: Assist with the booking and coordination of meeting rooms and other facility usage.
- Security Compliance: Monitor visitor access, maintain detailed visitor logs, and ensure all security protocols are strictly followed.
- Communication: Act as a communication hub, relaying important information between departments and distributing internal notifications.
- Document Management: Receive, process, and file documents, and perform basic data entry tasks as required.
- Facilities Support: Report any office maintenance issues, assist with basic troubleshooting of office equipment, and provide administrative support to the Facilities Manager.
- Special Projects: Provide support for company events, meetings, and other administrative initiatives as assigned by the Facilities Manager.
What You’ll Bring to the Table
Minimum Requirements:
- Grade 12 / Matric certificate.
- Minimum of 1-2 years of experience in a receptionist role or a similar customer-facing position.
- Prior experience using multi-line phone systems and standard office equipment (e.g., printers, photocopiers).
- A demonstrated track record of providing excellent customer service.
Advantageous Qualifications:
- A certification in office administration or reception management.
- Prior experience working in a corporate environment.
