Job Description

Pump and Abrasion Technologies is seeking a proactive and organized Internal Sales Administrator to join our dynamic team. This vital role focuses on handling incoming customer enquiries and providing comprehensive administrative support to our sales force to ensure smooth daily operations and exceptional customer service.

Key Responsibilities

  • Process and prepare quotes for both Sales Representatives and the internal sales team.
  • Accurately capture and manage sales orders within the company system.
  • Generate and issue invoices for completed orders.
  • Provide general operational support to the sales team to help achieve departmental goals and objectives.
  • Answer and manage phone calls from customers and sales representatives in a professional manner.
  • Assist in resolving customer and sales representative enquiries promptly and effectively.
  • Communicate important customer and sales feedback internally to the relevant teams.
  • Manage and respond to a high volume of emails efficiently.
  • Ensure high levels of customer satisfaction by delivering excellent sales service to both internal and external customers.
  • Assist in the preparation of tenders, reports, and proposals.
  • Support the sales team by managing client orders, which includes generating quotations, sales orders, invoices, and creating job cards.
  • Follow up daily on all outstanding work and provide timely updates to the responsible salesperson.
  • Complete all administrative tasks within the prescribed time frames to maintain workflow efficiency.
  • Provide assistance with other ad-hoc activities and projects as required by the team.

Requirements for the Role

  • Exceptional organizational skills and the ability to multitask effectively in a fast-paced environment.
  • Must be highly organized, flexible, and maintain a professional demeanor at all times.
  • Strong ability to prioritize your own workload independently.
  • Excellent verbal and written communication skills.
  • Previous experience with, and knowledge of, the Syspro system is highly advantageous.
  • A background in administration or sales is preferred.
  • Must be detail-oriented to ensure accuracy in all tasks.
  • A quick learner with a proactive attitude and excellent communication abilities.
  • High attention to detail is crucial for this role.
  • Must be a reliable team player who can collaborate effectively with colleagues.
  • Own reliable transport is required.

Education and Experience

  • Previous experience in a sales administration role is highly beneficial.
  • Matric Certificate is required.
  • Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • A clear criminal record is mandatory.
