Main Purpose
We are looking for a front‑desk administrator to ensure the smooth running of our office. Based in Westville, you will work full time alongside our office manager and rental administrator.
Key Responsibilities
- Provide daily administrative support to agents and management.
- Manage incoming calls, greet clients, and handle front‑desk and gate access duties.
- Check office e‑mail, distribute open‑hour notices and reminders, and send duty agent schedules.
- Prepare and circulate meeting reminders, national show‑day schedules and other important office updates.
- Maintain filing systems, ensuring all documents are accurately saved, filed and easily accessible.
- Monitor and manage office supplies and stationery orders.
- Assist with printer issues and make sure all office equipment is operational.
- Check office windows and set the alarm system before closing.
- Draft minutes of each office meeting.
- Handle listing and property administration: prepare and process all listing documentation (mandates, disclosure forms, listing slips, Lightstone reports); capture, update and manage property listings in Alchemy and PropControl; allocate WLS and PLS numbers for new listings; upload and resize property images; manage document storage on the company drive; remove sold properties from Alchemy; label and store property keys; update Google Sheets with new, active and sold property data.
- Coordinate marketing and open‑hour activities: set up on‑show events and open hours in Alchemy; prepare and send open‑hour reports, listing slips and disclosure forms; support property advertising; print and display referral materials; capture new leads and update referral reports; track property status changes; send staff birthday announcements and team communications; provide basic reporting and document preparation as requested by management.

Education & Experience
- Matriculation required.
- Degree advantageous.
- Prior property experience required.
Knowledge & Skills Required
- Proof of property experience is non‑negotiable.
- FICA processing experience required.
- Excellent written and verbal communication.
- Computer savvy.
