Role Summary

The Receptionist is the first point of contact for visitors and patients. You will greet guests, manage phone calls, handle patient admissions, support digital platforms such as the Netcare mobile app, and perform a variety of administrative tasks to keep the front desk running smoothly.

Key Work Output & Accountability

Greeting Patients & Visitors

  • Welcome patients, visitors, doctors, and staff warmly.
  • Direct individuals to appropriate departments or wards.
  • Provide general information about hospital services and procedures.

Patient Admissions & Data Quality

  • Verify patient personal and insurance details during admission.
  • Accurately maintain patient records in the SAP system.
  • Ensure consent, terms and conditions are signed as per SOPs.
  • Process online pre‑admissions, direct admissions, and admission authorisations.
  • Attach required documentation (mobile app, medical aid cards, guarantees) to SAP.
  • Follow up on authorisations and financial risk management.

Financial Risk Management

  • Accept cash and credit card payments, generate correct receipts.
  • Deposit funds securely and manage petty cash as needed.
  • Collect medical aid co‑payments and verify information via SAP.
  • Collect and verify documentation for COID and international patients.
  • Ensure full upfront deposits for private and international patients.

General Inquiries & Call Handling

  • Answer calls professionally, provide information, and transfer to relevant departments.
  • Manage walk‑in inquiries and resolve issues promptly.
  • Record messages accurately and ensure timely delivery.
  • Keep administration records updated and provide statistics upon request.
  • Attend monthly team meetings to discuss issues and provide feedback.

Maintaining the Reception Area

  • Prepare the reception area each day, ensuring all materials are stocked.
  • Keep the waiting area organized and inform patients of any delays.
  • Maintain a clean, welcoming environment.
  • Adhere to the Netcare uniform and dress code.

Confidentiality, Privacy & Policies

  • Protect patient privacy and comply with all regulatory requirements.
  • Follow internal control frameworks and quality standards.
  • Report any policy transgressions to your line manager.

Digitisation & Data Solutions

  • Support the adoption of electronic patient records.
  • Assist with online admission processes.

Teamwork & Development

  • Collaborate effectively with colleagues and stakeholders.
  • Participate in team activities and continuous learning.
  • Stay updated on Netcare’s evolving policies and procedures.

Requirements

Essential

  • Grade 12 or equivalent (NQF Level 4).
  • Computer proficiency.
  • Excellent verbal communication and customer service skills.
  • Exceptional interpersonal communication.

Preferred

  • Previous experience in a hospital environment.
  • SAP ISH experience.
  • Background in a customer service role.
  • Knowledge of medical aid benefit scales.
