Job Summary
The Stock Clerk is responsible for accurate inventory management throughout the hospital. You will maintain stock levels, identify discrepancies, reconcile physical stock with the SAP system, and support multiple hospital divisions. Flexibility, attention to detail, and teamwork are essential.
Key Responsibilities
Stock Control Administration
- Reconcile physical stock against the SAP system.
- Replenish consumable stock in designated areas.
- Generate material requirement planning (MRP) for all storage locations.
- Issue, pick, pack, and deliver replenishment inventory.
- Record stock and consumable transfers between locations.
- Monitor and report expired or damaged stock.
- Identify excess or slow‑moving stock and return to pharmacy.
- Review stock days reports and adjust quantities to MRP levels.
- Clear error logs and manage out‑of‑stock items.
- Maintain stock rotation using FEFO/FIFO principles.
- Assist with packing stock for theatre cases.
- Follow up on outstanding Goods Received Vouchers (GRVs) and back orders.
- Place orders and verify prices in the procurement system.
- Receive, check, unpack, and confirm delivery notes and invoices.
- Keep hospital stores secure and comply with evolving SAP and OrderCo procedures.
Stock Take
- Participate in cyclical and rotation count processes.
- Generate and update stock books.
- Prepare stock take checks according to checklists.
Risk, Compliance & Administration
- Adhere to pharmacy SOPs and statutory regulations.
- Support internal communication of inventory policies.
- Handle ad‑hoc duties and support nursing staff with stock queries.
- Maintain cold chain for refrigerated stock.
- Help with general housekeeping and participate in monthly meetings.
Professional Development & Stakeholder Relations
- Engage in continuous professional development.
- Build effective relationships with internal and external stakeholders.
- Contribute to team goals and promote a collaborative environment.
Requirements
Education
- Grade 12 or equivalent (NQF 4).
- Basic Stores and Stock Control Certificate (BSSC) – preferred.
Work Experience
- Preferred: 6 months to 1 year in a similar stock management role.
- Knowledge of pharmaceutical stock control systems.
Skills & Knowledge
- Intermediate computer literacy; proficient in MS Office.
- Excellent interpersonal and communication skills.
- Strong organisational and detail‑oriented.
- Capability to multitask and manage stressful situations.
