Job Advert Summary

National Bioproducts Institute NPC has a vacancy for a professional and efficient Receptionist. The successful candidate will be the first point of contact for our organisation, providing frontline reception services, managing the switchboard, and coordinating meeting room bookings. This role is essential in maintaining a high standard of presentation in our reception and meeting areas and providing effective administrative support.

Minimum Requirements

  • Matric (Grade 12)
  • A Secretarial certificate or diploma
  • Computer literacy (MS Outlook, MS Word, MS Excel)
  • Minimum of 3 years’ experience as a Receptionist or Secretary

Key Duties and Responsibilities

Reception and Switchboard

  • Answer and direct all incoming calls promptly and courteously.
  • Welcome and assist all visitors in a professional and friendly manner.
  • Maintain office security by monitoring and regulating visitor access at the reception desk.
  • Keep the corporate telephone directory updated and managed.
  • Make necessary internal announcements via the telephone system.
  • Ensure the reception area is consistently clean, organised, and presentable.

Administrative Support

  • Receive, screen, and distribute all incoming communications and deliveries efficiently.
  • Coordinate and manage meeting room bookings to prevent any scheduling conflicts.
  • Monitor the functionality of office equipment in the reception and meeting areas and report any faults.
  • Raise and follow up on maintenance requests (PM notifications).
  • Arrange standard refreshments and appropriate crockery for all scheduled meetings.
  • Coordinate and manage the info@nbisa.org.za email account, ensuring all queries receive timely responses and are routed to the correct departments.
  • Perform general clerical and receptionist duties as required or instructed by the Facility Manager.
