About the Role
Coltman Code, on behalf of MVIA, is seeking a motivated and detail-oriented Administrative Assistant to join our team. This is an excellent opportunity for an organized and communicative individual to gain hands-on experience in a dynamic and fast-paced environment. You will play a key role in supporting our project and operations teams, ensuring smooth internal processes, effective communication, and meticulous documentation.
Key Responsibilities
- Schedule meetings, prepare agendas, and manage calendars for upcoming appointments.
- Record, prepare, and distribute detailed meeting minutes, ensuring follow-up on action items.
- Maintain and update internal team members on all client communications.
- Gather, compile, and distribute comprehensive weekly and monthly client reports.
- Collect, organize, and maintain all project documentation, including scoping documents, contracts, and proposals.
- Gather API documentation and conduct necessary research during project scoping phases.
- Track project deliverables and deadlines, ensuring timely follow-ups to keep projects on schedule.
- Update and maintain project management tools (e.g., Trello, Asana, Jira) to reflect current project status.
- Assist with tracking resource allocations across various projects.
- Organize and maintain digital project files and records for easy access and retrieval.
- Assist in the preparation of professional presentations, proposals, and other client-facing documents.
- Provide general administrative and operational support to the Project Manager as needed.
Requirements
- Matric / Grade 12 Certificate is required.
- Good command of English, both written and verbal.
- Strong organizational and time management skills.
- Basic proficiency in Microsoft Office Suite or Google Workspace.
- Ability to manage multiple tasks efficiently and work independently.
- Familiarity with project management tools like Trello, Asana, or Jira is advantageous.
- Strong attention to detail and a proactive approach to problem-solving.
- A positive attitude and a strong eagerness to learn and grow within the role.
