Job Summary

The Administrative Assistant – Sales supports the sales team by coordinating schedules, maintaining documents, and handling communications with customers and dealers. The role requires strong organization, communication, and a detail‑oriented approach to ensure efficient sales operations.

Responsibilities

  • Manage sales calendars and schedule appointments and meetings.
  • Maintain and update sales documents, reports, and databases.
  • Prepare sales presentations, proposals and contracts.
  • Communicate with customers and vendors via phone, e‑mail and in person to collect information and provide support.
  • Process sales orders and inquiries accurately and in a timely manner.
  • Track and report sales metrics and performance data.
  • Assist with sales events, trade shows, and customer visits.
  • Research market trends and competitor activities.
  • Handle general office tasks: answering phones, filing, ordering supplies.
  • Support the Sales Manager with queries and requests.
  • Verify dealer quotes, pricing and discounts before sharing with clients.
  • Process all quote requests within one day of receipt.
  • Follow up with dealers on delays and keep clients updated.
  • Issue quotes within one day of receiving the request.
  • Complete orders and communicate any delays to customers.
  • Respond to customer inquiries via e‑mail and phone.
  • Acquire a comprehensive understanding of Motus fleet sales products and services.
  • Prepare weekly quote reports (orders received/pending).
  • Coordinate with dealers to schedule product deliveries (backorders).
  • Follow up on existing orders to meet customer expectations.
  • Participate in marketing activities, campaigns and activations as needed.
  • Maintain active communication with the dealer network, seeking referrals and leads.
  • If you hold a driver’s licence, assist with large fleet deliveries.

Qualifications

  • High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
  • 1–2 years of experience in a sales or administrative role.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Strong organisational and time‑management skills.
  • Excellent attention to detail and accuracy.
  • Effective written and verbal communication.
  • Ability to work independently and as part of a team.
  • Familiarity with CRM software (e.g. Salesforce) is a plus.

Physical Requirements

Must be able to sit at a desk and use a computer for extended periods and lift and carry heavy items. Experience as a sales coordinator or in administration is advantageous. Must handle pressure, negotiate effectively, and build relationships with the dealer network and fleet customers.
