Job Purpose

Provide high‑level administrative and operational support to the College executives. The role includes arranging travel, managing diaries, coordinating meetings, overseeing office administration, supporting health and safety compliance, and ensuring effective communication across the Executive Office.


Duties & Responsibilities

  • Executive & Administrative Support: Book conference and meeting room facilities; manage diaries and calendars, including scheduling and coordinating meetings and appointments; handle correspondence and maintain professional records.
  • Travel Coordination: Arrange and confirm all travel bookings through approved agencies; prepare itineraries, track costs, and process expense claims; ensure compliance with travel and expense policies.
  • Health & Safety: Monitor compliance with health and safety standards; coordinate safety audits, training sessions, and documentation as required.
  • Other Administrative Tasks: Oversee general office administration, support the executive team with ad‑hoc projects, and maintain confidentiality at all times.

Minimum Requirements

Qualifications:

  • Matric/Grade 12/ National Senior Certificate (NQF Level 4)
  • Diploma or Degree in Business Administration, Office Management, or a related field (NQF Level 5 or higher) – Advantageous

Experience:

  • At least 5 years of administration experience
  • 3–5 years in diary and travel management
  • Minimum 2 years in health and safety coordination
