Purpose of the Role
To welcome visitors and manage incoming calls, ensuring that each interaction is handled promptly, courteously, and with accuracy.
Key Responsibilities
Visitor Management
- Welcome and assess visitors upon arrival to determine the purpose of their visit.
- Issue visitor passes and maintain accurate visitor logs.
- Notify the relevant employee or department of a visitor’s arrival, or guide them to the appropriate location.
- Respond to routine inquiries from both internal and external contacts.
Telephone Management
- Answer and route incoming calls to the appropriate recipients.
- Take and accurately distribute messages.
Office & Administrative Support
- Coordinate the booking of meeting rooms.
- Ensure required equipment and materials (e.g., projectors, flipcharts, pens, paper) are available for meetings.
- Manage the sending, receiving, and distribution of mail and courier packages.
- Order and replenish office supplies, maintaining adequate stock levels in supply rooms.
Requirements
- Academic Background: Grade 12 / Matric certificate.
- A passion for administration and customer service.
- Strong communication and interpersonal skills.
- Attention to detail and good organizational abilities.
- Preference will be given to Employment Equity (EE) candidates.
