About the Role

The Registry Clerk provides essential counter services at the registry office. Key responsibilities include receiving, registering, sorting, filing and retrieving documents in a systematic manner, handling correspondence, and maintaining records in compliance with relevant legislation.

Key Duties

  • Receive, register, sort and file documents for easy retrieval.
  • Respond to inquiries from external and internal clients.
  • Submit WP1002 forms to the GEPF satellite office.
  • Retrieve files requested by auditors within the specified SLA.
  • Handle incoming and outgoing correspondence: tracking, tracing, transferring and collecting files of officials.
  • Store files numerically for efficient access; open and close files according to the records classification system.
  • Process documents for archiving or disposal in line with the National Archives Act.
  • Maintain records for all archived and transferred files.
  • Use a printer, computer and MS Word to compile reports and documents.
  • Provide monthly reports to the supervisor.
  • Make copies, scan and digitise paper documents.

Requirements

  • NQF Level 4 / Grade 12 (No prior experience required).
  • Knowledge of registry duties and practices.
  • Ability to capture data and use a computer.
  • Understanding of the legislative framework governing the Public Service.
  • Familiarity with storage and retrieval procedures for documents.
  • Computer skills: MS Office (Word, Excel).
  • Planning and organizing skills.
  • Good verbal and written communication skills.
  • Interpersonal skills.
