About the Role

G4S, a leading cash and payment solutions provider, is looking for an Inception Office Administrator to join our team at the Main Office in Midrand. You will report directly to the National Customer Support Manager and work closely with multiple departments to keep our operations running smoothly.

The primary purpose of this position is to record and maintain accurate load‑related data in systems such as Cash Operations, TMS, and Pastel. You will also support the onboarding of new customers and ensure all existing customer data is accurate and compliant across every platform.

Key Responsibilities

  • Site Inspections
    • Arrange and confirm inspection dates with clients.
    • Record detailed inspection data and observations.
    • Track progress and resolve any delays.
    • Distribute finished inspection reports to vendors and share results.
    • Keep the Site Inspection sheet updated.
  • Client and Vendor Communication
    • Notify clients of scheduled installation dates.
    • Make a courtesy call 24 hours prior to installation to confirm details and answer questions.
    • Maintain and manage relevant WhatsApp groups, sharing updates and addressing inquiries.
  • CIT Management
    • Send Critical Incident Team notifications and reminders when services start.
  • Device Ordering
    • Coordinate with authorities and provide dispatch paperwork for timely loading of ABMs.
  • Standard Operating Procedures
    • Follow company policies: Info Security, Acceptable Use, Crisis Management, Password Requirements, Safety, Inception, and Clean Desk.
  • Health & Safety
    • Participate in safety forums, meetings, and talks.
    • Report and discuss all safety incidents.
    • Attend safety education and refresher programmes.
    • Comply with all workplace safety procedures.

Qualifications & Experience

  • Grade 12 / Matric equivalent.
  • Relevant tertiary qualification (e.g., National Diploma in Business Administration or similar).
  • Minimum of 2 years of proven administrative experience, preferably within a corporate setting.

Skills & Attributes

  • Proficient in Google Workspace and Microsoft Office.
  • Strong organisational and time‑management skills.
  • Excellent attention to detail.
  • Effective written and verbal communication.
