Key Responsibilities

  • Welcome and assist visitors in a professional and courteous manner.
  • Maintain a clean, tidy, and welcoming reception area at all times.
  • Ensure visitors sign in, complete necessary forms, and are directed appropriately.
  • Provide refreshments to visitors when needed.
  • Communicate estimated waiting times to visitors.
  • Operate the switchboard efficiently: answer incoming calls, screen calls, transfer to relevant personnel, and take/relay messages promptly.
  • Maintain a log of all visitors and calls received.
  • Assist with document photocopying, scanning, binding, and distribution of mail and internal documents.
  • Support frontline operations with general administrative tasks.
  • Uphold the corporate image and values of Services SETA in all interactions.
  • Report any maintenance issues affecting reception services and ensure security procedures are followed.
  • Handle basic troubleshooting of office equipment.
  • Track performance metrics such as responsiveness to calls, visitor satisfaction, and compliance with reception standards.

Operational Excellence & Compliance

  • Ensure compliance with corporate reception and customer service standards.
  • Promote efficiency in managing incoming calls and visitor interactions.
  • Gather stakeholder feedback on service levels and implement improvements.
  • Ensure timely and accurate dissemination of messages and documents.

Requirements

  • National Senior Certificate or equivalent (NQF 4) certification.
  • Minimum of 1 year experience in a reception, customer service, or administrative role.
  • Knowledge or experience within a SETA environment is an advantage.
  • Strong communication, organisational, and problem‑solving skills.
