Job Overview
We are seeking an Estates Assistant to support the winding‑up of deceased estates for a 6‑month contract. The role requires a strong understanding of estate law and good administrative skills.
Role Purpose
Provide administrative and clerical support in the winding‑up of deceased estates in compliance with the Administration of Estates Act, 1965 and other relevant legislation. Ensure accurate, timely, and efficient processing of estate matters while delivering a professional service to executors, beneficiaries, attorneys, and other stakeholders.
Key Responsibilities
- Assist with opening and administration of deceased estates.
- Prepare and submit documentation to the Master of the High Court (e.g., reporting documents, acceptance of executorship, Letters of Authority/Executorship).
- Collect and collate information for the Liquidation & Distribution Account.
- Liaise with beneficiaries, attorneys, financial institutions, SARS and the Master’s Office.
- Ensure compliance with legislative timelines and statutory requirements.
- Handle correspondence, maintain filing systems, and update internal databases.
- Monitor estate progress and follow up on outstanding matters.
- Assist in drafting and proof‑reading estate accounts and related documents.
- Support senior estate officers with administrative tasks and client queries.
- Process claims, policies, and investments linked to the estate.
Qualifications
Matric / Grade 12 certificate (essential).
Relevant tertiary qualification (Diploma / Degree in Law, Administration or Finance) is advantageous.
Experience
1‑3 years of experience in an administrative role, preferably within deceased estates, legal, fiduciary or financial services.
Required Knowledge & Skills
- Administration of Estates Act, 1965
- Wills Act
- Basic knowledge of Income Tax Act and SARS requirements
- Computer literacy (MS Office Suite, estate administration software advantageous)
- Proficient in English (written and verbal); additional South African languages an advantage
Preferred Skills
- Experience liaising with the Master’s Office, SARS and financial institutions.
- Exposure to drafting estate accounts or estate planning processes.
- Customer service orientation with a compassionate and professional approach.
