Job Purpose

To provide comprehensive financial support services to the Communication, Marketing and Events Department, ensuring efficient financial administration and operational procurement processes.

Minimum Application Requirements

  • An appropriate three-year tertiary qualification (degree or national diploma) in Accounting, Financial Management, or a related field.
  • At least three years of relevant working experience in a financial support environment.
  • Supervisory experience will be a distinct advantage.
  • A valid Code B driving licence.
  • Must be willing to undergo a criminal record check and provide fingerprints (at own cost) through the Tshwane Metro Police Department.
  • Computer literacy is essential.
  • Knowledge of SAP S/4 HANA and SAP Budget Planning and Consolidation (BPC) systems will be highly advantageous.

Primary Functions and Responsibilities

Financial and Procurement Administration

  • Conduct operational procurement administration for amounts above R30,000.
  • Process fund transfers and budget requests, including preparing detailed motivations.
  • Request and compile inputs for the department’s operational procurement plan.
  • Manage operational contracts and tenders.
  • Facilitate the submission of approved specifications to the Supply Chain Management Division.
  • Monitor processes for quotations above R30,000 and formal tenders.
  • Liaise with Group Legal and Secretariat Services to compile service-level agreements with external service providers.

General Administration and Support

  • Provide general administrative and financial support services to the department.
  • Manage logistics services and machinery, including the administration of all photocopiers and fax machines.
  • Handle petty cash requests and payments.
  • Compile and process journals.
  • Generate and draw relevant operational financial reports.
  • Draft operational financial reports and memorandums for management.

Record-Keeping and Communication

  • Maintain an efficient filing system for all financial records.
  • Follow up on outstanding issues and queries.
  • Attend relevant meetings and workshops, taking accurate minutes when required.
  • Handle and respond to all financial enquiries.
  • Assist with preparing responses for financial audit queries.
