Job Purpose

To provide comprehensive administrative support within the Academic Administration Department. The role is crucial for ensuring the smooth execution of processes from student applications through to graduation. This position requires adherence to all relevant legislation, policies, and procedures while delivering effective and efficient customer service to all stakeholders.

Minimum Requirements

  • A Matric qualification or a related tertiary qualification.
  • At least 1 year of administrative experience, preferably within a Higher Education institution environment.

Recommended Skills and Experience

  • Knowledge and experience with the Integrator Student Management system (ITS) will be a significant advantage.

Key Performance Areas / Principal Accountabilities

The successful candidates will be responsible for a variety of administrative tasks, including but not limited to:

  • Adhering to office rules and executing general office duties efficiently.
  • Liaising professionally with both internal and external stakeholders.
  • Ensuring strict compliance with all legislative prescriptions, rules, and policies.
  • Completing all duties assigned by Senior staff members promptly.
  • Assisting with the filing of student records, both hard copies and electronic versions, in compliance with the ARC and AGC document management file plan and retention schedule.
  • Providing prompt and helpful responses to all enquiries, focusing on excellent customer service.
  • Assisting ARC Staff members with managing and responding to the Admissions email inbox.
  • Checking for and following up on outstanding supporting documentation by directly liaising with applicants.
  • Assisting applicants who report to on-campus dedicated online application venues, including helping with login procedures.
  • Assisting with the retrieval of auditor’s samples and printing proof of registration as required.
  • Supporting the AGC department during graduation ceremonies and with other ad-hoc duties as needed.

Additional Responsibilities for Roles Assisting the International Section:

  • Filing international registration-related documentation as prescribed by the Department of Home Affairs.
  • Acting as a liaison officer with Department of Home Affairs and Visa Facilitation Centre officials when required.
  • Assisting permanent staff with confirmation of registrations and verification of letters with embassies, Home Affairs, and Refugee Centers.
  • Handling international enquiries and assisting International Senior Administrators with assigned duties.

General Information

The annual salary package, including medical aid rates based on the principal member only, is to be confirmed.
