Job Summary
The Ward Administrator works at the ward/unit level and manages all administrative duties and stock control. The role acts as the link between the Pharmacy and the ward, reporting to both the Pharmacy Manager and the Unit Manager. The position also welcomes new patients, visitors and doctors to the ward.
Key Responsibilities
- Perform general administration tasks for the ward/unit.
- Control and manage ward stock, including surgical and ethical supplies.
- Record all stock and equipment used on patient charge sheets.
- Develop and maintain a clear stock identification system.
- Ensure timely replenishment of stock between the pharmacy and the ward as per SOP.
- Assist nursing staff with stock queries and complete investigations.
- Communicate with Unit Manager and Pharmacy Manager about back‑orders and out‑of‑stock items.
- Facilitate weekly cycle counts and weekly stock take processes.
- Review weekly stock reports, investigate discrepancies and follow up until resolution.
- Collate patient documents for audit and file release.
- Ensure all surgical, ethical stock and equipment are recorded accurately on charge sheets.
- Adhere to daily patient credit policy and coordinate credits with Pharmacy.
- Build strategic relationships with stock controllers, ward PA, Unit Manager, and nursing staff.
- Order maintenance requisitions, stationery, and equipment as directed.
- Maintain a friendly, professional attitude in all interactions.
- Ensure effective communication with all internal and external stakeholders.
- Support patients throughout their journey from admission to discharge.
Requirements
- Grade 12 or equivalent NQF Level 4 qualification.
- Relevant qualification in pharmacy (assistant) is an advantage.
Work Experience
- Minimum two years experience in a private hospital (advantageous).
- Experience in stock management.
- Experience using Hospital SAP is advantageous.
Knowledge & Skills
- Intermediate computer skills.
- Ability to control surgical and ethical stock at ward level.
- Competence in capturing daily charge sheets for billing.
- Strong organizational skills for inventory management.
- Good communication skills with pharmacy and ward teams.
