Job Purpose
The Receptionist is responsible for managing telephone and visitor communication, maintaining the switchboard, and supporting all administrative functions within the office. This role ensures a welcoming front desk environment and efficient coordination of boardroom and office facilities.
Key Responsibilities
- Operate the telephone switchboard and voicemail system—answer calls within three rings and route them accurately.
- Greet all visitors professionally, determine the purpose of their visit, and direct them to the appropriate person or department.
- Ensure the reception desk is manned by two staff members at all times.
- Sign for deliveries, notify recipients, and manage courier and postal services.
- Coordinate boardroom bookings, confirm reservations via email, and ensure rooms are prepared for meetings.
- Maintain reception area and boardroom in a neat, tidy, and secure condition.
- Handle complaints and forward them to the appropriate department.
- Support general administrative tasks such as typing, proofreading, filing, and maintaining service logs.
- Generate monthly reports for the switchboard and postal systems.
- Adhere to all organisational policies, safety procedures, and client-specific protocols.
Essential Functions and Basic Duties
- Receive 100 % of all telephone calls and visitors within company standards.
- Transfer or record messages accurately and promptly.
- Assist customers, clients, staff, and visitors at the front desk.
- Keep a detailed register of all deliveries and mail.
- Assist with handling emergencies and appointing security when needed.
Performance Measurements
- Professional and courteous handling of all incoming call and visitor interactions.
- Timely and error‑free management of courier and postal services.
- Completion of ad‑hoc duties within the required timeframe.
- Consistent adherence to site‑specific client processes and procedures.
- Maintain a clean, secure, and well‑organised workspace.
Education and Certification
Matric (Senior Certificate) – equivalent or higher qualifications are welcomed.
Certificate in Switchboard and Reception Management – mandatory.
Required Knowledge, Skills & Experience
Knowledge
Reception and switchboard management, general administration, Microsoft Office.
Skills
Excellent communication, organisational, and multitasking abilities.
Experience
- 1–2 years in reception or switchboard management.
- 1–2 years as an admin assistant or secretarial role.
- Experience with boardroom booking systems.
