We are currently seeking a meticulous and organized Assessment Officer to join our team at the Emeris Pretoria Campus. This role is central to maintaining the integrity and smooth operation of our assessment processes.

Duties and Responsibilities

Managing and Tracking Assessment Printing

  • Oversee the assessment process from initial capture in the Assessment Printing Tracking System (APTS) to receiving printed materials from our supplier, Colourtech.
  • Ensure all orders are placed and fulfilled accurately according to the APTS.
  • Update student numbers in the APTS to reflect actual registrations.
  • Input student numbers, venue details, and invigilator information into the APTS within set timelines to facilitate pre-packed assessment deliveries.
  • Thoroughly check all crate contents upon arrival from Colourtech to confirm correct packing and grouping as per APTS requests.
  • Report completion of APTS inserts and any batch discrepancies to the national office.
  • Ensure the timely return of empty crates and locks to Colourtech after batch checking.

Invigilator Recruitment and Management

  • Assist with the training of invigilators.
  • Coordinate the scheduling and booking of invigilators for all assessments.
  • Step in to invigilate assessments when necessary.
  • Reconcile invigilator reports before and after each assessment session.
  • Manage the logging in and out of assessment materials with invigilators.

Pre-Assessment Logistics (Initial and Replacement)

  • Manage all preparatory logistics for upcoming assessments.
  • Notify students once the Programme Assessment Schedule is published and available.
  • Ensure the secure storage of all assessment papers and memos in the campus academic safe.
  • Prepare all necessary assessment documentation.
  • Coordinate logistics to accommodate approved concession applications for students.
  • Liaise with the IT department regarding the setup and preloading requirements for practical IT assessments.
  • Oversee all assessments conducted on campus.
  • Reconcile answer scripts at the end of each assessment and hand them over to the Results Centre for marking and moderation.
  • Ensure all assessment documentation is consistently updated and compliant with audit requirements.
  • Reconcile the invigilator’s report, noting any discrepancies for investigation, and batch it with scripts for marking.
  • Manage approvals and logistics for assessments held at different locations.
  • Oversee the assessment process and script handling for students at Online Centres.

Non-Exam Condition Assessment Processing

  • Set up student groups and assignment deadlines on SafeAssign and Turnitin as per the Programme Assessment Schedules (PAS).
  • Collect physical assignments from the designated submission points on campus.
  • Reconcile assignment submissions with sign-in sheets, identify any not submitted via online platforms, and hand them over to the Results Centre.
  • Manage the collection, collation, grouping, and handover of all non-exam assignments.
  • Process late assignments in strict accordance with the Assessment Strategy and Policy.

Exam Condition Assessment Escalations

  • Facilitate the resolution of any escalations related to the exam paper that arise during an assessment.
  • Raise queries with the Programme Operations Manager (POM) during live assessments and communicate resolutions from the Central Academic Team (CAT) to all students and venues.
  • Communicate query resolutions to invigilators at different and alternate locations.
  • Manage the process of escorting students to the bathroom during exams.
  • Address any issues or queries raised by invigilators during assessment sessions.

Team Support General

  • Ensure all relevant student notes are accurately captured in the System for Academic Management.
  • Complete incident reports (For Action Now – FAN Reports) for any non-compliance issues within the Assessment Centre.
  • Maintain strict access logs for the secure Assessment Centre.
  • Provide support for campus-specific projects and events such as Graduation and Open Days.
  • Participate in focus group sessions to review and improve centre systems.

Competencies Required

  • Excellent communication and interpersonal skills.
  • A strong understanding of and passion for delivering high-quality customer service.
  • An assertive and dynamic approach to work.
  • Proficiency in MS Excel and MS Word.
  • A high level of accuracy in both typing and data capturing.
  • Excellent organizational and administrative abilities.
  • Best suited to a systematic individual with a keen eye for detail.

Minimum Qualification Requirements

A minimum of a Higher Certificate (NQF Level 5) is required. A National Diploma (NQF Level 6) or higher will be advantageous.

Minimum Work Experience Requirements

A minimum of 2 years of administration experience is essential. Previous experience within a tertiary education environment is highly preferable.

Centre Core Hours (Days With Assessments):
Monday to Friday: 08:00 to 17:00
