We are looking for a dedicated Administrator to join our team at Trinityhouse Schools. This role is important for keeping our school running smoothly and supporting both staff and students every day.

Duties and Responsibilities

In this position, you will handle a variety of tasks to support the school’s operations. Here is a detailed list of what you will do:

  • Provide support for educational organization, making sure everything is well-coordinated.
  • Process and maintain pupil applications, acceptances, and records. This includes entering data into systems and keeping manual files organized.
  • Assist the Examinations Officer with all aspects of exams administration, from preparation to execution.
  • Perform various administrative duties as needed to keep the office running efficiently.
  • Manage the reception area and operate the switchboard, greeting visitors and handling calls professionally.
  • Handle other ad hoc duties as assigned by your supervisor to support the team’s needs.
  • Type administrative and academic materials, ensuring accuracy and neatness.
  • Assist with Pencilbox, our school management software, to update records and generate reports.
  • Act as the school report administrator, preparing and distributing reports to parents and staff.
  • Serve as the marketing liaison, coordinating promotional activities and communicating with external partners.
  • Help complete the school newsletter, gathering content and ensuring it is ready for distribution.
  • Assist with the enrolment process, guiding families through applications and registrations.
  • Maintain diaries and schedules for management, arranging appointments and meetings.
  • Organize events, from planning to execution, including school functions and parent meetings.

These duties will keep you busy and involved in many parts of school life, contributing directly to our students’ success.

Skills and Competencies Required

To succeed in this role, you need a mix of personal qualities and practical skills. We are looking for someone who has:

  • Excellent interpersonal and communication skills to interact positively with students, parents, staff, and visitors.
  • Strong typing, organizational, and administrative skills to handle paperwork and digital tasks efficiently.
  • The ability to work accurately even under pressure, staying calm during busy times like exam periods or enrolment rushes.
  • A strong sense of confidentiality to protect sensitive information about pupils and staff.
  • An enthusiastic, energetic, and creative approach to problem-solving and daily tasks.
  • The ability to work well as part of a team, collaborating with colleagues across departments.
  • Computer literacy, with comfort using basic software and learning new tools quickly.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with PencilBox or similar school software.

Qualifications

The minimum requirement for this position is a Matric certificate or an equivalent qualification, along with good typing skills. You must be computer literate, especially with Microsoft Office applications, as these are essential for daily tasks. A secretarial qualification would be a great advantage and could help you stand out as a candidate.

Experience

You should have at least 2 years of general administration experience in a similar environment, such as a school, office, or educational institution. This experience will prepare you to handle the diverse responsibilities of this role effectively.
