Job Purpose

As the Academic Operations Officer, you will manage all administrative aspects related to student results, graduation, records, admissions, registration, and assessment. You will be the custodian of the Student Information System (SIS) and ensure a seamless student experience throughout the entire lifecycle.

Duties & Responsibilities

  • Student Registration & Admissions
    • Plan and oversee the registration process.
    • Ensure online registrations are complete, accurate, and signed.
    • Resolve registration queries for all online students.
    • Create and maintain student records in both digital and hard‑copy formats.
    • Upload supporting documents to the SIS and maintain an organised filing system.
    • Approve admissions following IIE policies.
    • Ensure compliance with admission criteria and policies.
    • Handle contract cancellations, de‑registrations, course changes, refunds, billing queries, and sponsorships.
    • Process inter‑campus and other student transfers, coordinating with staff at other campuses.
  • Assessment Management
    • Manage the Online Assessment Platform (OAP) and verify assessment timetables.
    • Allocate venues and invite invigilators.
    • Maintain assessment log sheets and ensure lecturers return marked scripts.
    • Verify marks against LMS reports and manage moderation processes.
    • Resolve assessment queries within agreed timelines.
    • Communicate assessment schedules and results.
    • Distribute memorandums in line with policy.
  • Administration & Certification
    • Handle all administrative duties related to student records and transfers.
    • Coordinate certificate issuance and accreditation compliance.

Minimum Requirements

Qualifications

  • Advanced Certificate, Diploma, or Occupational Certificate Level 6 (NQF Level 6) in Secretarial/Administration – Minimum
  • Degree/Diploma (NQF Level 7) in Administration or a related field – Preferred

Experience

  • Administration experience: 3–5 years
  • First‑level management experience: 1 year
  • Online assessment platform experience: 1–2 years
