About the Role
The Academic Operations Administrator will support daily academic processes at IIE Rosebank College. In this role you will manage student records, coordinate support centre activities, and ensure smooth communication between students, staff, and external partners. Your work will help create an organized, efficient learning environment and contribute to the college’s mission of academic excellence.
Key Responsibilities
- Support Centre Administration
• Plan and lead support centre operations.
• Keep campus staff informed of all activities.
• Communicate clearly with students and staff.
• Alert the line manager to potential issues.
• Act as the first point of call for any problems. - Student Support
• Respond to student queries within the SLA.
• Manage electronic and hard‑copy student documents.
• Process student registrations and assessment applications. - Order Processing
• Receive and accurately process product orders.
• Verify order details, pricing and availability.
• Communicate order confirmations and resolve questions.
• Maintain a professional customer‑focused approach. - Inventory Management
• Monitor product inventory levels.
• Coordinate with procurement to ensure stock availability.
• Assist with returns, exchanges and warranty claims. - Product Knowledge
• Build and maintain knowledge of product lines and certifications.
• Provide accurate product information and recommendations. - Documentation & Reporting
• Keep detailed records in the company’s CRM.
• Generate regular sales, order and inventory reports. - Process Improvement
• Identify ways to streamline administrative tasks.
• Work with teams to implement improvements. - Collaboration
• Support sales teams in meeting targets and customer satisfaction goals.
• Liaise with vendors, distributors and internal departments. - Compliance & Policies
• Follow company policies, pricing guidelines and ethical standards.
• Adhere to reseller program requirements. - Project Planning
• Execute projects assigned by the line manager.
• Provide feedback and participate in review and mitigation plans.
Minimum Requirements
- Qualifications
• Matric (NQF Level 4) or equivalent.
• Higher Certificate in Administration (NQF Level 5) preferable. - Experience
• 1–2 years in office administration, personal assistant or student administration roles.
• 1–2 years handling customer service enquiries and reporting.
• Demonstrated attention to detail and quality assurance for 1–2 years. - Key Competencies
• Knowledge of the South African higher education system and regulations.
• Effective time management and ability to meet deadlines.
• Strong attention to detail and customer‑service orientation.
• Ability to cope with change and work well under pressure.
• Team‑working and effective communication skills.
