About the Role

The Admin Clerk supports the Wills Control Centre by ensuring accurate data entry, preparing correspondence, handling customer inquiries, and complying with all regulatory and internal policies. This role requires a keen eye for detail, excellent communication skills, and a commitment to high standards of compliance.

Key Responsibilities

  • Data Capturing
    • Receive new and revised wills from DSV, clients, and accurately log the dates on the Absa Trust system.
    • Enter cancellation requests into the Wills Filling System to delete customer records.
    • Process notifications of deceased estates or cancellation of wills from the National Deceased Estates Department or Government Gazette.
    • Transfer old customer records from the Magic database to the new Wills Filling system.
    • Perform identity checks to identify duplicate wills and merge records when necessary.
  • Preparation of Letters
    • Create standard letters confirming cancellation of wills.
    • Automate correspondence to clients confirming receipt of their will.
    • Contact clients by SMS or email for additional information when required.
    • Write letters to Absa Trust – Deceased Estate Branches advising of a deceased estate and forwarding original wills.
    • Prepare reports of deceased estates to the Master of the High Court, attaching original wills.
  • Customer Service
    • Respond to phone queries through the Wills Safe Custody helpline.
    • Communicate professionally with the Master’s Office and attorneys to verify original will dates.
  • Compliance & Training
    • Complete all mandatory compliance and legislation training within the prescribed timelines.
    • Maintain up‑to‑date knowledge of the Wills Act and related regulations.
    • Adhere to policies on Environmental Health, Safety, Information Security, Records Management, and Anti‑Money Laundering.

Qualifications

Education: Grade 12 or equivalent NQF qualification. Bachelor’s Degree or Advanced Diploma in Business, Commerce, or Management Studies (required).

Experience: Minimum of 1 year in an administrative role; 1 year in a fiduciary role is preferred.
