Purpose of the Position
The main goal of this role is to offer administrative, clerical, and office support services to the Infrastructure Management unit based in Uitkeer. This position plays a key part in keeping daily operations running smoothly, handling paperwork accurately, and following all departmental rules and public service guidelines. By doing so, it helps the team focus on their core tasks while ensuring everything is organized and compliant.
Minimum Requirements
- Education: A Senior Certificate (Grade 12) or an equivalent qualification is required. This ensures candidates have the basic educational foundation needed for administrative tasks.
- Experience: Between 0 and 2 years of experience in administrative or clerical work is needed. Experience in a government setting would be an advantage, as it shows familiarity with public sector practices.
- Driver’s Licence: Having a valid driver’s licence is not mandatory but would be helpful for tasks that might involve local travel or errands.
Knowledge, Skills, and Competencies
To succeed in this role, candidates should have a solid understanding of key areas and personal abilities that support efficient office work. These include:
- Knowledge of important laws and rules, such as the Public Finance Management Act (PFMA), Treasury Regulations, and standard Public Service administrative procedures. This helps in managing finances and operations correctly.
- A good grasp of record management and filing systems to keep documents organized, easy to find, and secure.
- Computer literacy, particularly in using Microsoft Word, Excel, PowerPoint, and Outlook. These tools are essential for creating reports, spreadsheets, presentations, and emails.
- Strong communication skills, both verbal and written, along with good interpersonal skills to interact effectively with colleagues, superiors, and external contacts.
- Excellent organizational abilities, problem-solving skills, and time management to handle multiple tasks under deadlines without errors.
- The ability to deal with confidential information responsibly and with full discretion, protecting sensitive data at all times.
- Sharp attention to detail and a focus on accuracy, especially when entering data or preparing documents, to avoid mistakes that could affect operations.
Key Responsibilities
This position involves a range of everyday tasks that support the smooth functioning of the office. Key duties include:
Carrying out general administrative work such as filing documents, making photocopies, scanning materials, and keeping records up to date. This ensures all paperwork is properly maintained and accessible when needed.
Managing the handling, movement, and storage of official documents and correspondence to prevent loss and maintain order.
Helping with procurement processes, which means getting quotations from suppliers and updating registers to track purchases and expenses.
Entering data and updating computer systems related to infrastructure projects and maintenance activities, keeping records current and reliable.
Processing and keeping track of travel claims, leave requests, and payment claims to ensure staff are reimbursed promptly and correctly.
Maintaining asset and inventory registers for the unit, which involves tracking equipment and supplies to support budgeting and audits.
Dealing with incoming and outgoing mail, sorting it efficiently, and recording it properly to avoid delays.
Providing reception duties and logistical support for meetings and departmental events, such as setting up rooms, arranging refreshments, and taking notes if required.
Offering general support to management and team members with various office administration needs, contributing to a collaborative and productive environment.
