Purpose of the Position
The Administration Clerk in the Court Recording Technology (CRT) unit plays a vital role in supporting the smooth operation of court proceedings. This position involves providing strong administrative and technical assistance to ensure that all court sessions are accurately recorded, properly filed, and efficiently managed. The clerk will handle the setup and maintenance of recording equipment, manage digital and physical files, and respond to various queries related to court recordings. This role requires attention to detail, reliability, and a commitment to maintaining confidentiality in a legal environment. By performing these duties effectively, the clerk helps uphold the integrity and efficiency of the judicial process in the High Court.
Minimum Requirements
- Education: A Grade 12 Certificate (Matric) is required. This serves as the foundational qualification for understanding basic administrative tasks and technical operations in a court setting.
- Experience: No prior experience is necessary, making this an excellent entry-level opportunity for recent matriculants or those seeking to start a career in the justice system. Training will be provided to build necessary skills on the job.
- Driver’s Licence: Holding a valid driver’s licence is an added advantage, as it may be useful for occasional travel or support in circuit court activities.
Skills and Competencies
- Knowledge of Digital Recording Systems and Court Proceedings: Familiarity with how audio recording equipment works and an understanding of the flow of court sessions will help in performing core tasks effectively.
- Understanding of Digital and Manual Filing Systems: Ability to organize and retrieve files both electronically and in physical form, ensuring nothing is lost or misplaced in a busy court environment.

Key Responsibilities
- Prepare and test all CRT equipment before the start of court proceedings to guarantee it is fully operational and ready for use.
- Accurately record all court sessions, monitoring the equipment throughout to ensure high-quality audio capture without any failures.
- Capture details of cases scheduled for recording and maintain an up-to-date CRT court book to track daily activities.
- Annotate any postponed or delayed cases in the records and perform regular data backups to prevent loss of important information.
- Retrieve and download audio recordings as needed for transcription purposes, verifying their completeness and accuracy before handover.
- Handle requests for playback of recordings, providing them to authorized personnel while ensuring the process is efficient and secure.
- Verify the accuracy of all recorded sessions by listening to samples and making necessary notes or corrections.
- File and safeguard audio CDs and digital files in a secure manner, following proper protocols to protect court data from unauthorized access.
- Attend to both technical and administrative queries from court staff, legal teams, or other departments regarding court recordings, offering prompt and helpful responses.
- Manage recordings for circuit courts, which may involve traveling to different locations, and ensure all materials are submitted on time for review or archiving.
