Job Description

ADvTECH is looking for a dedicated Administration Assistant to support academic operations across our campuses.
The role ensures smooth learning processes and compliance with accrediting bodies, helping students, faculty, and staff achieve their academic goals.

Overall Purpose of This Job

Provide comprehensive administrative support to academic operations.
Coordinate learner processing, programme delivery, and quality assurance in line with institutional and accrediting policies and timelines.
Assist with audits, registrations, certifications, and student experience initiatives to maintain operational excellence.

Key Result Areas

  • Implement and coordinate administrative support for academic operations.
  • Manage day‑to‑day support for campus and national academic departments.
  • Prepare for internal and external audits, campus PULSE, and accreditation quality assurance processes.
  • Work with accreditation bodies to ensure learner registration and processing comply with policies.
  • Support action plans for improving campus processing and programme delivery.
  • Compile statistical data and support quality assurance and graduation processes.
  • Process student records, results, and certifications with CATHSSETA and QCTO.
  • Coordinate campus registration, result capturing, and examination registration.
  • Build and maintain campus relationships through learner processing support.
  • Capture student notes in the academic system.
  • Provide support during campus registration periods and liaise with accrediting bodies.
  • Report on accreditation processing, certification, programme performance, and statistics monthly.
  • Guide campuses in resolving issues and supporting other stakeholders.
  • Coordinate academic material distribution and stock take processes.
  • Review all academic operations requirements with the National Office team.
  • Coordinate timing with CAT, accrediting bodies, partners, and internal support teams.
  • Process departmental quotes and invoices, working with finance.
  • Implement academic operational timelines aligned with strategy and accreditation needs.
  • Resolve operational and accrediting queries and adhere to timelines.
  • Compile academic documentation to support a high‑quality student experience.
  • Support new programme development by gathering documentation.
  • Assist with student query resolution and strengthen student experience.
  • Drive student evaluation and monitoring of the retention strategy.
  • Facilitate work‑integrated learning placements and industry visits.

Qualifications

  • Minimum: Grade 12
  • Diploma/ Degree in Communication or Administration preferred

Experience

  • Minimum 1 year of administrative experience.
  • Proficiency in Microsoft Office (full package, including Outlook).

Skills

  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • High willingness to learn.
  • Highly organized with excellent time‑management skills.
  • Proficient in Microsoft Office and applicant tracking systems.
  • Strong organisational and analytical abilities.
