Job Purpose

We need a friendly and organized person to manage our front desk. The receptionist will greet visitors, answer calls, handle telephone and mail communications, and support general office administration.

Key Responsibilities

  • Keep the reception area clean and welcoming.
  • Operate the switchboard: receive, screen and transfer calls, take messages, and forward them via email if needed.
  • Report telephone equipment or line faults to the IT Manager.
  • Welcome guests and notify the appropriate staff upon arrival.
  • Maintain a minimum stock of stationery, paper, and other office supplies; reorder as needed.
  • Create stationery packs for new employees and prepare site cards.
  • Supervise office equipment maintenance; order toner and paper for printers.
  • Manage meeting room reservations and coordinate catering or other arrangements.
  • Assist with general administrative tasks for the office manager or administrator.
  • Help project managers with filing, printing, photocopying, and scanning documents.
  • Update spreadsheets such as birthday lists and contact directories regularly.
  • Arrange courier services, sign for deliveries, and inform staff to collect items.
  • Keep a log of employee and visitor sign‑ins and sign‑outs; bring the register to the evacuation point in an emergency.
  • Attend First Aid training and act as a Health and Safety representative.
  • Support social committee events and staff functions.
  • Train cleaning staff on office procedures.
  • Source and procure office equipment as required.

Minimum Requirements

  • Grade 12 (Matric) or equivalent.
  • 2–3 years of experience in a receptionist or administrative role.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
