Job Purpose
The Finance Assistant supports the Financial Controller in managing the accounting and financial reporting for the hotel. This role coordinates the financial management system, helps maintain budgets, and ensures all financial activities are carried out accurately and efficiently.
Key Responsibilities
General
- Use accounting software and communication tools to record all financial transactions.
- Prepare and analyze financial reports for weekly, monthly, quarterly, and annual review.
- Provide financial advice to senior management on revenue, cash, and cost control.
- Manage accounts payable and receivable processes.
- Take charge of the finance department during the manager’s absence.
- Support bank reconciliations, cashbook entries, and month‑end and year‑end closings.
- Maintain proper documentation for internal and external audits.
- Ensure compliance with internal controls, company policies, and South African accounting standards.
- Monitor the use of equipment, manage the asset register, and coordinate with the General Manager and shareholders on financial matters.
Accounts Payable (AP)
- Receive, verify, and process supplier invoices and staff expense claims.
- Ensure proper approval, coding, and filing of all invoices.
- Reconcile supplier statements and resolve discrepancies.
- Prepare regular payment runs and ensure timely supplier payments.
- Maintain accurate supplier records and produce aged creditor reports.
Accounts Receivable (AR)
- Generate and issue customer invoices on schedule.
- Record customer receipts and allocate payments correctly.
- Follow up on overdue accounts and resolve payment issues.
- Prepare AR aging analysis and report outstanding balances.
- Support month‑end closing by reconciling AR balances and revenue accounts.
Qualifications & Experience
- Recognised qualification in Accounting.
- At least 2 years of experience in a luxury or lifestyle hotel environment.
- Proficient with accounting software such as SAGE 300 and Opera Cloud.
- Advanced skills in Microsoft Office (Word, Excel, PowerPoint).
- Strong understanding of South African accounting standards.
- High degree of confidentiality and integrity.
- Excellent written and spoken English.
- Strong communication skills and ability to work well with cross‑functional teams.
- Strategic thinking and forecasting abilities.
