Facilities Administrator

About the role
We are looking for an entry‑level Facilities Administrator to provide day‑to‑day administrative and coordination support for our facilities‑management operations. The role involves managing soft‑service contracts, coordinating events, maintaining documentation and ensuring compliance with health, safety and company policies.
Key Responsibilities
- Soft‑service administration: Receive and process service requests, track delivery times, capture and schedule invoices, and maintain both paper and electronic filing systems.
- Contractor management: Oversee on‑site contractors, ensure they follow company policies and HSE requirements, open and close Permit‑to‑Work procedures, and manage response times.
- Event coordination: Plan and schedule functions, conduct bi‑monthly site walk‑downs with cleaning and grounds crews, and keep all stakeholders informed.
- Reporting: Compile routine maintenance and soft‑service reports, present updates in client meetings, and submit monthly compliance documents to the FM team.
- Communication: Act as the main liaison among the company, clients and contractors, maintaining positive relationships and resolving issues promptly.
- Health & safety: Follow all safety protocols, report incidents or hazards immediately and ensure contractor compliance with PTW and HSE standards.
Qualifications & Experience
- Matric (Grade 12) – Facilities Management or Administration qualification is an advantage.
- Proficiency in MS Office (Excel, Word, Outlook).
- Previous experience in administration or facilities‑management roles is preferred.
- Experience with property management or soft‑service coordination is a plus.

- Knowledge of procurement and invoice processing.
- Capability to juggle multiple priorities and meet deadlines.
- Familiarity with CAFM systems and reporting tools is advantageous.

Work Environment & Physical Requirements
Office‑based with regular site visits. Must be able to work under pressure, meet tight deadlines and occasionally work after hours or on weekends for events.
