Job Overview

The Administrative Assistant will support the daily administrative and operational functions of our restaurant. The role includes managing kitchen and floor inventory, office supplies, payroll, HR tasks, email communications, supplier relationships, and sectional administration documents.

Key Responsibilities

  • Kitchen and Floor Inventory:
    • Maintain accurate inventory records for kitchen and floor supplies.
    • Conduct regular stock checks and update systems.
    • Place orders as needed to avoid shortages.
    • Implement FIFO to minimise waste.
    • Perform periodic stock audits.
  • Office Stationery and Stock:
    • Track office supplies such as stationery and printer ink.
    • Create and maintain a budget for office supplies.
    • Place timely orders to keep stock levels adequate.
  • Payroll:
    • Record daily attendance and staff hours.
    • Track variations for Sundays, public holidays, and sick leave.
    • Prepare payroll data for the payroll department.
    • File sick notes and related documents.
  • HR:
    • Maintain up-to-date staff records and employment contracts.
    • Assist with recruitment tasks, including scheduling interviews.
    • Organise staff training sessions and keep training records.
    • Ensure compliance with HR policies and answer staff queries.
  • Email Management:
    • Monitor the store’s inbox and respond promptly.
    • Flag and prioritise important emails.
    • Forward supplier statements to the Head Office and Accounts.
    • Record guest bookings, special requests, and supply deliveries.
  • Supplier Coordination:
    • Maintain positive relationships with suppliers.
    • Ensure timely ordering and delivery.
    • Resolve issues and coordinate returns or exchanges.
    • Keep accurate records of all supplier communications.
  • Sectional Administration:
    • Organise and maintain all administrative documents.
    • Implement effective filing systems.
    • Prepare and distribute regular reports on inventory, payroll, and supplier performance.

Preferred Qualifications

  • Proven experience as an administrative assistant or similar role.
  • Familiarity with restaurant operations is preferred.
  • Proficiency in Microsoft Office Suite and inventory management systems.
  • Strong organisational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • High attention to detail and accuracy.

Work Environment

Fast‑paced restaurant setting. Must handle multiple tasks simultaneously and may need occasional evening or weekend work.
