Job Summary
As an Academic Operations Administrator, you will keep student records accurate, support the Sales and Support Teams, manage orders and inventory, and help improve our administrative processes. Your work will help students succeed and enable the college to maintain high quality standards.
Key Responsibilities
- Support Centre Administration
- Implement support‑centre plans and keep campus staff updated.
- Communicate clearly with staff and resolve issues promptly.
- Act as first responder to technical or operational problems.
- Maintain the student database, registers, and reports.
- Keep detailed financial and customer records.
- Student Support
- Respond to student queries within the agreed SLA.
- Store student documents electronically and in hard copy.
- Process student registration and assessment applications.
- Order and Inventory Management
- Receive, verify, and process product orders accurately.
- Communicate order status and resolve customer questions.
- Manage inventory levels and coordinate with procurement.
- Handle returns, exchanges, and warranty claims.
- Product Knowledge & Communication
- Understand product offerings and technical specifications.
- Provide informed recommendations to customers.
- Maintain a professional, customer‑focused tone in all interactions.
- Documentation & Reporting
- Keep accurate records in the CRM system.
- Generate regular sales, order, and inventory reports.
- Process Improvement
- Identify and propose ways to streamline administrative work.
- Collaborate with cross‑functional teams to implement changes.
- Project Support
- Execute projects assigned by the line manager.
- Provide feedback and participate in review meetings.
Minimum Requirements
- Qualifications
- Matric (NQF Level 4)
- Higher Certificate in Administration (NQF Level 5) preferred
- Experience
- 1–2 years in office administration, personal assistance, or student administration.
- 1–2 years dealing with customer queries and reporting.
- Demonstrated attention to detail and quality assurance.

- Understanding of South African higher education systems and regulations.
- Excellent time management and ability to meet deadlines.
- Strong attention to detail and customer‑service orientation.
- Adaptability to change and a team‑player mindset.
- Effective verbal and written communication skills.
