Key Responsibilities

Operational Excellence

  • Reception & Administration: Answer calls, take messages, open patient files on the Practice Management System, and manage patient scheduling with dentists, hygienists, specialists, theatre staff and billing. Communicate with medical schemes and patients about treatment limits and costs.
  • Document Control: Coordinate printing, filing and follow‑up of medical records, patient education material, dental checklists and other essential documents. Maintain compliance with SOPs, Scope of Practice, POPIA and legislation.
  • Supply Management: Monitor, order, receive, unpack and record medical and dental supplies, devices and equipment. Maintain stock levels, conduct cycle counts and stock takes, and support budgeting and procurement processes.
  • Equipment Support: Assist the Clinic Manager with equipment analysis for capital expenditure, obtain quotations, schedule preventive maintenance, and record functional checks. Report non‑functional equipment immediately.

Operational Efficiency

  • Follow scheduled duty rosters and electronic clock‑in/out to ensure adequate staffing.
  • Replenish dental stock and consumables as required.
  • Accurately record all used items and manage cold chain, emergency care and trolley requirements.
  • Enter patient data accurately into the Electronic Health Record and other platforms.
  • Ensure compliance with POPIA and all SOPs and policies.
  • Report non‑functional equipment and participate in system and SOP alignment.

Safety, Health, Environment & Quality (SHEQ)

  • Adhere to the regulatory framework for dental and clinical practice.
  • Participate in risk assessments, conduct monthly phantom X‑ray tests, and implement control measures.
  • Report safety non‑compliance, assist in root cause analysis, and implement corrective actions.
  • Follow OSHA Act and regulations, dispose of healthcare risk waste in accordance with legislation.
  • Participate in workforce surveillance and maintain ISO 9001 quality management practices.

Patient Care

  • Provide patient‑centred care, assist in treatment planning, and adhere to the Dental Assistant Scope of Practice.
  • Ensure clear communication among staff to prevent care issues.
  • Provide high‑quality customer service and enhance the patient journey.
  • Follow safe medication administration SOPs.
  • Assume responsibility for infection prevention, standard precautions, and sterilisation protocols.
  • Report near misses, incidents and contribute to incident management system.

Data Management

  • Capture all data accurately and comply with SOPs, dental standards and legal requirements.

Professional Development

  • Identify and pursue self‑development opportunities (formal studies, self‑studies).
  • Ensure punctuality, meet deadlines, and keep updated with Netcare policies.

Customer Satisfaction & Stakeholder Relations

  • Deliver excellent customer service and maintain stakeholder relationships.
  • Provide timely clinical information as required by POPIA.
  • Handle patient complaints and support patient flow to reduce wait times.

Training & CPD

  • Participate in all required training and obtain sign‑offs on relevant SOPs and policies.
  • Provide proof of registration with the Health Professions Council of South Africa (HPCSA).
  • Maintain continuous professional development (CPD) evidence.

Teamwork & Collaboration

  • Work effectively with colleagues, supporting other clinics and departments.

Skills & Qualifications

Education

  • Grade 12 or equivalent (NQF Level 4)
  • Registered with HPCSA as a Dental Assistant

Experience

  • Essential: 2–3 years dental experience
  • Preferred: Experience in private sector, knowledge of practice management systems, and medical aid schemes

Knowledge & Skills

  • Good verbal and interpersonal communication
  • Ability to work under pressure and adapt to changing conditions
  • Strong planning, organising and follow‑up skills
  • Customer‑care oriented mindset and initiative
  • Computer literacy and familiarity with dental software
