Primary purpose of the role

To take responsibility for the financial reconciliation of utility accounts and ensure the accuracy of data captured during the utilities payment process. This includes reconciling supplier accounts and guaranteeing that all supplier invoices are submitted to the Accounts Payable department in a timely manner.

Key Performance Areas (KPAs)

  • Analyse utility accounts to ensure accurate capture and payment of liabilities during the weekly payment cycle.
  • Translate utility account payments and balances accurately into internal financial systems.
  • Manage the opening and closing of utility accounts, addressing and reconciling outstanding balances to the company’s financial records.
  • Review and manage inter‑account transfers between utility accounts, reconciling allocations of payments, credits, and refunds.
  • Maintain the utilities deposits register; ensure deposits are refunded on time and bank guarantees are released appropriately.
  • Process clearance payments on utility accounts.
  • Ensure all purchase orders are raised, authorised, and invoices allocated.
  • Coordinate with suppliers, including supply authorities, as required.
  • Assist in operational reporting and data analysis.

Requirements

Education:

  • Senior Certificate with Mathematics and Accounting preferred.
  • Tertiary qualifications are beneficial.
  • Additional certifications or qualifications relevant to utilities management are a plus.

Experience:

  • Minimum of 3 years in a utilities management department, preferably within the property sector.

Technical knowledge:

  • Solid understanding of supply authority tariff structures.
  • Knowledge of regulatory principles and requirements for the supply and recovery of electricity, water, and sewer services.
  • Proficiency in Microsoft Excel, including pivot tables and handling large data sets.

Other proficiencies:

  • Strong financial and analytical skills.
  • Vendor management expertise.
