Position Overview

You will be the first point of contact for SANRAL visitors and callers. Your duties will include managing the front desk, coordinating the switchboard, and providing general administrative support.

Key Responsibilities

  • Greet visitors, identify the nature of their visit, and direct them to the appropriate department or office.
  • Maintain visitor logbooks, issue visitor badges, and coordinate with security for all arrivals.
  • Apply vigilance: detect and report suspicious behaviour or packages.
  • Keep the reception area tidy and well stocked with stationery, brochures, and forms.
  • Handle all incoming mail, parcels, and courier items; sign for them and keep an accurate register.
  • Manage the switchboard: answer calls, take messages, forward inquiries, and maintain the telephone directory.
  • Assist with the booking of boardrooms for internal and external meetings; maintain a full diary of all bookings.
  • Provide general administrative support, such as minute‑taking, arranging staff meetings, and assisting with travel arrangements when necessary.
  • Participate in emergency evacuations as part of the OHS team.
  • Handle stock-taking and issuance of stationery as required.

Minimum Requirements

  • National Senior Certificate (grade 12); post‑matric qualification is an advantage.
  • At least three years’ experience in a reception or switchboard role.
  • Computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook).

Technical Competencies

  • Familiarity with telephone systems and switchboard operations.
  • Basic knowledge of general office machines (copiers, printers, etc.).
  • Excellent interpersonal, organisational, and communication skills.
  • High level of computer proficiency – MS Word, Excel, Outlook.
  • Strong verbal communication and telephone etiquette.
  • Effective time‑management and prioritisation of tasks.
