Job Description

Position Purpose

You will support the property management team by ensuring the property generates maximum income. Your main tasks are: collect rents, manage accounts, and maintain positive relationships with tenants and clients.

Essential Functions and Basic Duties

  • Prepare, reconcile and control monthly rent rolls and reports.
  • Follow up on outstanding accounts by phone, email, or letter.
  • Negotiate payment arrangements and inform clients of potential legal actions if necessary.
  • Use persuasion and human‑relations skills to present a professional image of the company.
  • Document all collection actions and maintain accurate activity reports.
  • Send timely rental and fee statements and process daily tenant payments.
  • Coordinate with bookkeeping and accounting staff on bank deposits, queries and misallocations.
  • Prepare management reports, debtor reports, and graphical summaries of collections.
  • Manage legal processes for recovering lease charges and handling evictions.
  • Maintain professional business relations with clients and external contacts.
  • Keep the work area clean, secure and well maintained.

Performance Measurements

  • Monitor and review problem accounts regularly.
  • Apply appropriate collection actions according to company policy and legal requirements.
  • Maintain a delinquency ratio that meets management standards.
  • Provide accurate, timely reports and records.
  • Build good working relationships with area personnel and management.
  • Compile and capture electricity and water readings.

Qualifications

  • Matric with Bookkeeping qualification.
  • Three years of related experience.
  • Own transport.
  • Previous experience in a property‑related field is recommended but not required.

Required Knowledge

  • Understanding of collection procedures, laws and regulations.
  • Familiarity with company policies, default and enforcement clauses.

Skills and Abilities

  • Excellent administrative and organisational skills.
  • Strong communication and grammar skills.
  • Ability to use necessary equipment and computer applications.
