Purpose of the Position
The main goal of this role is to offer efficient administrative and clerical support to the Registrar’s Office. This includes helping with case flow management, keeping accurate records, and ensuring smooth court operations in the High Court divisions. The job plays a key part in making sure court processes run without delays and meet all legal standards.
Minimum Requirements
- Education: A Grade 12 (Matric) certificate is required.
- Experience: No prior work experience is needed for this entry-level position.
- Driver’s Licence: Having a valid driver’s licence is an added advantage but not essential.
- Additional Advantage: A three-year National Diploma (NQF Level 6, 360 credits) in Office Administration, Legal Assistance, or Public Management is highly desirable. This qualification will be particularly beneficial for the posts in Pretoria.
Key Knowledge, Skills, and Competencies
To succeed in this role, candidates should have the following knowledge, skills, and abilities:
- A good understanding of registry procedures, court filing systems, and how cases flow through the court process.
- Knowledge of the laws and rules that apply to the Public Service.
- Familiarity with important legislation, such as the Promotion of Access to Information Act (PAIA) and the National Archives Act.
- Strong computer skills, especially in Microsoft Office tools like Word, Excel, and Outlook.
- Excellent administrative, numerical, and organizational skills to handle daily tasks effectively.
- Great communication and interpersonal skills to interact with colleagues, stakeholders, and the public.
- High levels of attention to detail, accuracy, and the ability to manage time well.
- The capacity to work under pressure, both independently and as part of a team.
- A strong commitment to keeping information confidential and delivering high-quality service.
Core Responsibilities
The successful candidate will be responsible for a range of duties to support the court’s operations. These include:
- Providing administrative and case flow management support to ensure cases move smoothly through the system.
- Handling correspondence and queries from stakeholders in a professional and timely manner.
- Maintaining and filing civil and criminal court records accurately and securely.
- Administering appeals, petitions, and applications for leave to appeal, following all procedures.
- Assisting with issuing court processes and managing the registry on a day-to-day basis.
- Preparing, analyzing, and submitting court statistics and reports as required.
- Updating and maintaining case data on digital systems, such as Court Online and Caselines.
- Performing archiving and filing tasks in line with records management policies and legal requirements.
- Supporting the Registrar, Chief Registrar, or Court Manager with general administrative duties.
- Ensuring all work aligns with Batho Pele principles (putting people first) and departmental policies for ethical and efficient service.
