Purpose of the Position
The main goal of this role is to provide data management and administrative support in the Office of the Chief Justice. This includes accurately capturing data, keeping records organized, and preparing statistical reports. The focus is on maintaining the reliability and security of the department’s information systems to support smooth operations.
Minimum Requirements
- Education: A Grade 12 Certificate (Matric) is required.
- Experience: No previous experience is necessary for this entry-level position.
- Driver’s Licence: Having a valid driver’s licence is an added advantage but not essential.
Knowledge, Skills, and Competencies
To succeed in this role, you should have a good understanding of clerical and administrative practices. It is important to know the basics of data capturing and how to manage records effectively. Familiarity with the legal rules that apply to the Public Service in South Africa will be helpful.
You need to be skilled in using common computer programs like Microsoft Excel, Word, PowerPoint, and Outlook. Accuracy in working with numbers is crucial, along with a strong attention to detail to avoid mistakes. Good time management and organizational skills will help you handle tasks efficiently.
Strong communication and interpersonal skills are essential for working with team members and others. You should also be able to think analytically and solve problems when they arise. Finally, maintaining confidentiality and handling data ethically is a key part of this job to protect sensitive information.
Key Responsibilities
In this position, you will be responsible for capturing and maintaining data accurately. This involves entering information into databases, spreadsheets, and reports to keep everything up to date and reliable.
You will need to verify, validate, and review all data to spot and fix any errors. This ensures the quality and correctness of the information used by the department.
Regularly performing data backups is a critical task to protect information from loss and maintain its integrity over time.
When requested, you will provide information and reports to other teams or components within the organization, helping them make informed decisions.
A key part of the role includes capturing and tracking data related to recruitment and selection processes. This covers verification results and ensuring all steps are documented properly.
You will conduct personnel suitability checks, which may involve verifying criminal records, citizenship, references, and qualifications for candidates.
Compiling detailed reports on vetting outcomes and data verification results will be required to summarize findings and support HR functions.
Ensuring the safe storage and confidentiality of all recruitment and data-related records is vital to comply with privacy standards and protect personal information.
You will maintain up-to-date filing systems that follow data protection guidelines, making it easy to retrieve information when needed.
Providing general administrative and secretarial support to the sub-directorate will include tasks like scheduling, correspondence, and other office duties.
Finally, you will collate, analyze, and interpret statistics to identify trends. This involves preparing reports that highlight patterns and insights to aid in departmental planning and decision-making.
