Purpose of the Position

The main goal of this role is to offer data management and administrative support in the Office of the Chief Justice. This includes making sure that data is captured accurately, records are kept properly, and statistical reports are prepared correctly. All of this helps to keep the department’s information systems reliable and trustworthy.


Minimum Requirements

  • Education: You need a Grade 12 Certificate (Matric).
  • Experience: No previous work experience is necessary for this position.
  • Driver’s Licence: Having a driver’s licence is an advantage but not required.

Knowledge, Skills, and Competencies

To succeed in this job, you should have a good understanding of clerical and administrative practices. It is important to know the basic principles of data capturing and how to manage records effectively.

You should also be familiar with the legal rules that apply to the Public Service. Proficiency in computer programs like Microsoft Excel, Word, PowerPoint, and Outlook is essential.

Strong skills in numerical accuracy and paying close attention to detail are key. You need excellent time management and organizational abilities to handle tasks efficiently.

Good communication and interpersonal skills will help you work well with others. Analytical thinking and problem-solving skills are necessary to analyze information and fix issues.

Key Responsibilities

In this position, you will be responsible for capturing and maintaining data accurately in various systems, such as databases, spreadsheets, and reports. This ensures that all information is up-to-date and correct.

You will verify, validate, and review data regularly to spot and correct any errors or inconsistencies. This step is crucial for keeping the quality of data high.

Performing regular data backups is another important duty to protect information from loss and ensure its integrity over time.

You will provide information and reports to other parts of the organization when they request it, making sure the details are clear and timely.

A key part of the job involves capturing and tracking data related to recruitment and selection processes, including the results of various verifications.

You will conduct personnel suitability checks, which include criminal record checks, citizenship verification, reference checks, and qualification verifications. These checks help ensure that candidates are suitable for roles.

Compiling reports on vetting outcomes and data verification results will be part of your regular tasks, providing insights into the processes.

Ensuring the safe storage and confidentiality of all recruitment and data-related records is vital to protect sensitive information.

You will maintain up-to-date filing systems that follow data protection standards, keeping everything organized and accessible when needed.

Providing administrative and secretarial support within the sub-directorate will involve assisting with day-to-day operations and tasks.

Finally, you will collate, analyze, and interpret statistics to identify trends and prepare comprehensive reports that support decision-making.
