About the Role

The Receiving and Dispatch Clerk is a key role in our cold storage facility operations. You will be responsible for overseeing the accurate and efficient handling of all incoming and outgoing goods. Your work will ensure all processes align with our company procedures and client requirements. This position is vital for maintaining the seamless operation of our facility and requires a high level of attention to detail, strong organizational skills, and the ability to work well in a team.

Key Responsibilities

Receiving

  • Check and verify all incoming shipments against delivery documents and purchase order files.
  • Inspect goods for both quantity and condition as they arrive. Report any discrepancies or damages immediately.
  • Ensure all documentation for received goods is accurate and recorded correctly in our system.
  • Work with the Operations Manager and other team members to assign storage locations for new inventory.
  • Keep the receiving area organized and well-maintained at all times.

Dispatch

  • Prepare and verify all outgoing shipments for accuracy against client instructions and export documents.
  • Coordinate with the Planning Manager to schedule and prioritize dispatch activities efficiently.
  • Ensure all goods are properly labelled, packed, and documented before they are transported.
  • Communicate clearly with transporters and internal staff to confirm dispatch details and resolve any issues.

General Operations

  • Keep up-to-date and accurate records of all goods that are received and dispatched.
  • Work closely with the Compliance Officer to make sure all internal procedures and export regulations are followed.
  • Monitor stock movements and report any discrepancies to the Operations Manager.
  • Assist with inventory counts and audits when needed.
  • Maintain a clean, safe, and organized workspace that meets all health and safety standards.

Key Competencies and Skills

  • Strong attention to detail and a commitment to accuracy in all record-keeping.
  • Good communication and interpersonal skills for working with team members and external partners.
  • Basic computer skills for data entry and managing documentation.
  • Ability to prioritize tasks and manage multiple responsibilities under tight deadlines.
  • Understanding of basic inventory management principles and logistics processes.
  • Physical ability to work in a cold storage environment, including standing for long periods and lifting items when necessary.

Qualifications and Experience

  • Grade 12 diploma or equivalent qualification.
  • At least 2 years of previous experience in a receiving, dispatch, or logistics role is preferred.
  • Experience working in cold storage operations, especially in the fruit export industry, is an advantage.
  • Knowledge of export documentation and procedures is beneficial but not mandatory.
  • Basic experience with a Warehouse Management System (WMS) is helpful.

Working Conditions

  • This job involves working in a cold environment, so you must be prepared for exposure to low temperatures.
  • You must be flexible and available to work shifts, weekends, or overtime as required by operational needs.
