Job Description

Tsebo Facilities Solutions is seeking a professional and friendly Switchboard Operator to manage incoming telephone calls at the IALCH switchboard. The ideal candidate will be the first point of contact for callers, providing excellent customer service and ensuring all calls are handled efficiently and accurately.

Key Responsibilities

  • Incoming Calls: Greet callers in a friendly and professional manner following the established script. Answer all calls promptly, aiming for an answer time of less than 15 seconds. Transfer calls to the correct extensions and take detailed messages when necessary, ensuring they are passed on promptly.
  • Caller Interaction: Adhere to general telephone etiquette guidelines. Handle difficult callers with respect and diplomacy, following all switchboard procedures.
  • Emergency Calls: Maintain an updated emergency contact list. Make emergency calls as required and keep a detailed record of all such calls.
  • Database Management: Continuously update the switchboard database with new information as it is received.
  • General Duties: Adhere to TFS House Rules and Safety, Health, Environmental, and Quality (SHEQ) systems, including ISO 9001, ISO 14001, and ISO 18001 standards.

Skills and Competencies

  • Computer literacy, particularly in MS Office packages (Word, Excel, Access).
  • Excellent interpersonal and communication skills.
  • Strong telephone etiquette.
  • Attention to detail and the ability to plan, organize, and control own work effort.
  • Ability to manage multiple situations simultaneously and display professionalism.
  • Must be energetic, punctual, reliable, and approachable.
  • Self-motivated and team-oriented, with a friendly, polite, and helpful demeanor when dealing with customers.
  • Ability to work effectively under pressure and multitask in a busy environment.

Qualifications and Experience

  • Matric (Grade 12) certificate is required.
  • A Secretarial or Telephonist Certificate/Diploma would be a distinct advantage.
  • 1-2 years of experience in a similar switchboard or customer service environment.
  • Previous experience operating a busy electronic switchboard is highly desirable.
