Job Description

Motus Mercedes-Benz Bryanston is currently seeking a dedicated and detail-oriented Service Costing & Warranty Clerk to join our team. This position reports directly to the Service Manager and plays a crucial role in ensuring accurate financial and administrative processes within our dealership service department.

Position Overview

The Service Costing & Warranty Clerk is responsible for providing precise costing and invoicing administrative services in accordance with Mercedes-Benz standards and procedures. This role involves comprehensive processing of all documentation related to warranties and maintenance services, ensuring maximum profitability while minimizing unnecessary expenditure through efficient warranty claims management.

Key Responsibilities

Workshop Documentation Processing

  • Open job cards and allocate WIP numbers accurately
  • Ensure all customer details are correctly captured on pre-order and master booking forms
  • Maintain accurate vehicle repair records on the IT system
  • Provide customers with detailed written quotations for services
  • Obtain correct pricing for parts, labor, and sub-contractor services
  • Generate sub-contractor orders from the IT system as required
  • Ensure proper authorization is obtained before sub-contractors proceed with vehicle repairs
  • Maintain accurate filing systems with all written quotations attached to corresponding job cards
  • When necessary, book vehicles for repairs and allocate work appropriately to technicians

Financial Management

  • Ensure all work performed is allocated to active accounts
  • Obtain account-based repair order numbers
  • Follow all Kerridge procedures for capturing account details
  • Secure written order numbers from finance houses covering workshop costs when required
  • Determine insurance company liability for workshop costs
  • Calculate percentage splits accurately for maintenance contracts
  • Verify customer account status and details with the debtors department
  • Check credit limits and obtain correct customer account numbers
  • Coordinate cost splitting with the warranty department before invoice generation
  • Locate and apply appropriate WIS numbers
  • Forward warranty and maintenance documentation to the warranty clerk promptly
  • Ensure completed job cards are efficiently forwarded to costing and invoicing clerks

Qualifications and Requirements

  • Minimum Grade 12 education
  • Proven team player with excellent collaboration skills
  • Mercedes-Benz experience will be a significant advantage
  • Knowledge of Kerridge system is beneficial
  • Strong service costing skills, knowledge, and experience
  • Exceptional people skills and ability to perform under pressure
  • Minimum of 2 years’ experience in a Service Costing position preferred
