Job Description
An exciting opportunity exists for a professional and presentable Front Office Liaison to join our team. Reporting to the SHEQ Manager, the successful candidate will be responsible for reception, office administration, access control, and SHEQ administration. This role is the first point of contact for employees, security, and external stakeholders, requiring a sparkling, welcoming personality and a proactive, resourceful, and energetic approach.
Key Performance Areas
- Ensure smooth operations of the front office.
- Act as the point of entry for visitors by electronically completing and authorizing access.
- Welcome and usher visitors to meeting points.
- Prepare and offer welcome drinks for guests.
- Manage and update electronic noticeboards and screens.
- Screen and direct calls and emails professionally and efficiently.
- Liaise with internal and external stakeholders on booking and meeting arrangements, including managing meeting room reservations and coordinating schedules.
- Handle queries and complaints from employees, clients, or external stakeholders and facilitate official responses.
- Purchase office supplies and monitor inventory (e.g., groceries, kitchenware, hygiene materials).
- Ensure deliveries are received by the relevant recipients.
- Maintain and update records and files on office expenses.
- Maintain databases, including staff birthdays and telephone lists.
- Ensure high standards of general housekeeping for the print room, storeroom, reception area, boardrooms, and kitchens.
- Provide SHEQ administration support, including facilitating SHE committee meetings, taking minutes, updating documents on the integrated management system (IMS), assisting with incident logs, compiling SHE communications (toolbox talks), and coordinating SHE training and emergency drills.
- Proactively maintain a positive reputation at all relevant touchpoints.
Requirements
The ideal candidate must have the following qualifications and experience:
- Grade 12 (matric) and a certificate in administration or equivalent qualification.
- A 3-year diploma/degree in administration or equivalent qualification, along with any SHERQ-related certificate, would be advantageous.
- At least 3 years of work experience in reception, office administration, or SHERQ administration.
- Computer literacy in Sage X3, Word, Excel, SharePoint, PowerPoint, and Outlook.
- Excellent communication and people skills.
- Strong organizational and multitasking abilities.
- Tech-savvy (proficient with iPad, cellphone applications, Wi-Fi, electronic messaging boards, social media, etc.).
- A valid driver’s license.
