Position Summary
The Kitchen Administrator is responsible for a variety of clerical and administrative tasks to ensure the smooth operation of the kitchen office. You will be the central point for information, handling data entry, communications, and record-keeping with a high degree of accuracy and professionalism.
Key Responsibilities
Administrative & Clerical Duties
- Enter and retrieve information from computer databases to update records, files, and reservations, and to answer guest inquiries.
- Operate standard office equipment, including computers, mail, and facsimile machines.
- Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software.
- Handle all incoming and outgoing mail, including date stamping and distribution.
- Create and maintain efficient computer-based and paper filing systems for records, reports, and documents.
- Compile, copy, sort, and file records of office activities and business transactions.
- Transmit information or documents using a computer, mail, or fax.
Guest & Team Relations
- Welcome and acknowledge all guests according to company standards; anticipate and address their service needs.
- Thank every guest with genuine appreciation and provide a fond farewell.
- Assist individuals with disabilities.
- Develop and maintain positive working relationships with all coworkers and support the team to reach common goals.
- Listen and respond appropriately to the concerns of other employees.
- Handle sensitive issues with tact, respect, diplomacy, and confidentiality.
Communication
- Answer telephones using proper etiquette: within 3 rings, with a smile, using the caller’s name, and requesting permission before placing on hold.
- Speak to guests and coworkers using clear, appropriate, and professional language.
- Prepare and review written documents (e.g., logs, letters, reports), including proofreading for accuracy.
Policies & Procedures
- Maintain confidentiality of all proprietary materials and information.
- Protect the privacy and security of guests and coworkers.
- Follow all company and department policies and procedures.
- Ensure uniform, nametags, and personal appearance are clean, hygienic, and professional.
Physical Requirements
- Move, lift, carry, push, pull, and place objects weighing up to 10 pounds without assistance.
- Enter and locate work-related information using computers and/or point of sale systems.
